Job Title - School Clerk

Supervised by/Reports to: Principal

FLSA Status: Non-exempt

Job Goal:

To perform assigned clerical duties efficiently and effectively.

To assist school faculty, staff, and other school system personnel in supporting student achievement and school operations.

Qualifications:

1. High school diploma or equivalent.

2. Successful work experience in a comparable position, preferred.

3. Ability to meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.

4. Knowledge of general office procedures, electronic and manual filing and record keeping.

5. Demonstrated proficiency in oral and written communication skills.

6. Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups

7. Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established time frames.

8. Knowledge of the operation word processing and data entry software, and office computer applications.

9. Ability to organize files and data, prioritize tasks, and manage time efficiently.

10. Ability to remain calm and use good judgment in emergency situations.

11. Ability to exercise tact, courtesy, and initiative in dealing with students, parents, faculty, and the public.

12. Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or school information.

13. Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.

14. Ability to engage in prolonged sitting.

15. Ability to be punctual and in regular attendance.

16. Such alternatives to the above qualifications as the Board may require.

Performance Responsibilities and Essential Functions:

1. Demonstrates support for the school system and its vision, goals and priorities.

2. Performs duties and represents the school in a courteous, positive and professional manner.

3. Types, enters data, organizes and retrieves files, prepare and submits reports, handles correspondence as assigned, and performs various school clerical functions as directed.

4. Assists when needed in routine office and/or clerical tasks to support activities of secretary, bookkeeper, receptionist, principal, or other administrators as needed.

5. Communicates by email or electronic messaging as needed.

6. Supervises office assistants and/or office volunteers as assigned.

7. Exhibits interpersonal and collaboration skills to work as an effective team member.

8. Models and maintains high ethical standards.

9. Demonstrates initiative in the performance of assigned responsibilities.

10. Posts/records and file correspondence and reports as directed.

11. Reacts quickly and calmly in an emergency situation on the telephone or at the front desk.

12. Assists school personnel and/or administrators as needed with preparations for meetings, projects, visiting groups, delegations, or conferences.

13. Participates in the training programs offered to increase skill and proficiency related to assignment.

14. Ensures adherence to security rules and safety standards.

15. Maintains appropriate confidentiality regarding school/workplace matters.

16. Performs duties in a courteous and professional manner.

17. Demonstrates initiative in identifying potential problems and/or opportunities for improvement in areas of responsibility.

18. Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.

19. Responds to inquiries, requests, constructive feedback, concerns and/or complaints in a timely and positive manner.

20. Maintains and submits reports, records, and correspondence in a timely and accurate manner.

21. Properly uses and cares for equipment and material resources of the school system and effectively supervises and monitors others in the care, maintenance, and use of tools, equipment, and inventory.

22. Serves on school system committees, tasks forces, and representative groups as required.

23. Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.

24. Reports absences and takes leave in accordance with Board policies and procedures.

25. Performs any other job-related duties as assigned by the principal and/or supervisor(s).

Terms of Employment: Ten or twelve month position in accordance with Board's salary schedule.

Evaluation: Performance of this job will be evaluated in accordance with provisions of the State Department of Education and/or Baldwin County Board of Education policy on evaluation of classified personnel.
