Phelps Dunbar LLP is an AmLaw 200 full-service law firm. The Electronic Billing Assistant is responsible for the prompt submission of invoices and the resolution of issues related to the firm's electronic billing (e-billing), in alignment with client billing guidelines. A key requirement of this role is to adhere to all deadlines. This position reports directly to the Electronic Billing Supervisor and involves close collaboration with Billing Coordinators and the Collections team. The Assistant is expected to adhere to all firm policies and procedures while representing the department with professionalism and a courteous customer service demeanor.

Essential Duties and Responsibilities:

  • Assist the Electronic Billing Supervisor with the setup and implementation of new e-billing processes. This includes obtaining necessary timekeeper billing rates and ensuring client references are established. Coordination with clients, e-billing vendors, billing attorneys, and billing coordinators is essential.
  • Monitor invoice submission deadlines set by clients and the e-billing department, as well as client accruals and any other established timelines, to ensure all are met promptly.
  • Review client Outside Counsel Guidelines to establish and set up new clients in eBilling Hub and the firm's time and billing system.
  • Conduct ongoing and thorough account audits on eBilling Hub and all vendor sites to resolve invoice rejections or upload issues efficiently. This requires close collaboration with the billing team and keeping the Electronic Billing Supervisor informed of progress and any challenges.
  • Actively participate in and support the Electronic Billing Supervisor during meetings and training sessions with staff on all aspects of e-billing.
  • Provide feedback and recommendations to management on process improvements and reviews of e-billing policies and procedures.
  • Research and respond to inquiries from clients, attorneys, or staff.
Requirements

Education and Experience
  • Highschool Diploma or GED
  • Minimum of 2 years of law firm billing experience, ebilling experience preferred.
Qualifications and Skills Required
  • Proficiency in Elite and eBillingHub preferred
  • Proficiency in Microsoft Office
  • Excellent written and verbal communication
  • Flexible, organized and detail oriented


Performance Measures:

Performance is measured by the specialists billing knowledge, assurance that invoices are successfully submitted timely, accurately and in accordance with the firm and client's guidelines, proactive in making suggestions and improving processes and ability to meet all deadlines and handle assigned tasks.
